4. Quotations and Pricing

4.1 Free Consultations

We provide free, no-obligation site visits and consultations within our service area. During consultations, our technicians assess project requirements and provide recommendations. Consultations do not constitute a binding commitment from either party.

4.2 Written Quotations

All quotations are provided in writing and include:

  • Detailed scope of work
  • Materials and specifications
  • Total project cost (including VAT where applicable)
  • Estimated timeline
  • Payment terms
  • Warranty information

4.3 Quotation Validity

Quotations are valid for 30 days from the date of issue unless otherwise stated. After this period, pricing may be subject to revision due to material cost fluctuations or other factors. We reserve the right to withdraw or modify quotations at any time before acceptance.

4.4 Price Variations

If unforeseen circumstances arise during the project that require additional work or materials beyond the original scope, we will notify you immediately and provide a revised quotation for approval before proceeding. No additional charges will be applied without your prior written consent.

5. Booking and Deposits

5.1 Acceptance of Quotation

A binding contract is formed when you accept our written quotation by signing and returning it, or by providing written confirmation via email. Verbal acceptance may be accepted at our discretion but will be confirmed in writing.

5.2 Deposit Requirements

Depending on project size and scope, we may require a deposit:

  • Small projects (under £500): No deposit required
  • Medium projects (£500-£2,500): 25% deposit
  • Large projects (£2,500-£10,000): 30% deposit
  • Major projects (over £10,000): 30-50% deposit (negotiable)

Deposits secure your booking date and cover initial material procurement. Deposits are non-refundable except as provided in our Cancellation Policy.

5.3 Scheduling

We will confirm project start dates in writing. While we make every effort to adhere to scheduled dates, timelines are estimates and may be affected by weather conditions, material availability, or unforeseen circumstances. We will notify you promptly of any significant delays.

6. Payment Terms

6.1 Payment Methods

We accept the following payment methods:

  • Bank transfer (BACS)
  • Debit/Credit cards
  • Cash
  • Cheque (subject to clearance)

6.2 Payment Schedule

Standard payment terms:

  • Deposit: Due upon booking confirmation
  • Progress payments: As agreed in quotation (for large projects)
  • Final payment: Due upon satisfactory completion and project sign-off

6.3 Late Payment

Payment is due immediately upon completion unless alternative arrangements have been agreed in writing. If payment is not received within 14 days of the invoice date, we reserve the right to charge interest at 8% per annum above the Bank of England base rate on the outstanding amount, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

6.4 Disputed Charges

If you dispute any charges, you must notify us in writing within 7 days of receiving the invoice. We will investigate promptly and work with you to resolve any legitimate concerns. Disputed amounts should be paid pending resolution to avoid late payment charges.

7. Customer Responsibilities

To ensure successful project completion, customers must:

  • Provide accurate information about the property and project requirements
  • Ensure safe and reasonable access to work areas
  • Remove or protect valuable items, furniture, and personal belongings
  • Ensure adequate power supply and water access (where required)
  • Obtain necessary permissions, approvals, or consents from landlords, building management, or local authorities
  • Inform us of any hazardous materials (asbestos, lead paint, etc.) or structural concerns
  • Secure pets and notify us of any animal presence on site
  • Provide parking facilities or pay for parking permits where required
  • Be available for project sign-off and final inspection

Failure to meet these responsibilities may result in project delays, additional charges, or termination of the contract.

8. Our Guarantees and Warranties

8.1 Quality Guarantee

We guarantee that all work will be completed to professional industry standards using quality materials and proper techniques. Our ironclad guarantee covers: no cracking, no peeling, no fading when proper maintenance is followed.

8.2 Warranty Period

Warranty periods vary by service type:

  • UPVC spraying and coating: 10 years
  • Kitchen transformations: 5 years
  • Interior decoration: 2 years
  • Powder coating: 10 years
  • Floor refinishing: 5 years
  • Heritage restoration: Project-specific (detailed in quotation)
  • Vehicle wrapping: 3-5 years (depending on wrap type and usage)

8.3 Warranty Exclusions

Our warranty does not cover:

  • Damage caused by improper cleaning or maintenance
  • Damage from accidents, impacts, or deliberate misuse
  • Normal wear and tear in high-traffic commercial environments
  • Modifications or repairs performed by third parties
  • Damage from extreme weather events or acts of God
  • Structural defects or failures in underlying materials
  • Failure to follow recommended maintenance procedures

8.4 Warranty Claims

To make a warranty claim, contact us promptly with photographic evidence and project details. We will inspect the issue and, if covered under warranty, repair or re-perform the work at no additional charge. Our decision regarding warranty coverage is final.

9. Cancellation and Refund Policy

9.1 Customer Cancellation

You may cancel your booking subject to the following terms:

  • More than 14 days before start date: Full refund of deposit minus £50 administrative fee
  • 7-14 days before start date: 50% refund of deposit
  • Less than 7 days before start date: No refund (deposit forfeited)
  • After work has commenced: No refund; full payment for work completed and materials purchased

9.2 Our Right to Cancel

We reserve the right to cancel or suspend services if:

  • Weather conditions make work unsafe or impractical
  • Unforeseen circumstances prevent safe or proper completion
  • Customer fails to meet their responsibilities
  • Payment obligations are not met
  • Hazardous conditions are discovered that were not disclosed

In such cases, you will receive a full refund of any deposit and payments made, minus costs for work already completed and materials purchased.

10. Liability and Insurance

10.1 Our Insurance Coverage

WeSpray Group Nottingham maintains comprehensive insurance coverage including:

  • Public Liability Insurance (minimum £5,000,000)
  • Professional Indemnity Insurance
  • Employer's Liability Insurance

10.2 Limitation of Liability

Our liability is limited as follows:

  • We are liable for damage directly caused by our negligence or breach of contract
  • Maximum liability is limited to the total project value or £10,000, whichever is greater
  • We are not liable for consequential losses, loss of profits, or indirect damages
  • We are not liable for pre-existing defects, structural issues, or hidden damage discovered during work

Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be legally excluded.

10.3 Customer Insurance

You are responsible for maintaining adequate property insurance. We recommend notifying your insurance provider before work commences, particularly for heritage buildings or high-value properties.

11. Intellectual Property

All content on our website, including text, graphics, logos, images, and software, is the property of WeSpray Group Nottingham and is protected by UK and international copyright laws. You may not:

  • Reproduce, duplicate, or copy content without written permission
  • Use our branding, logos, or marketing materials

14. Complaints and Dispute Resolution

We will notify you promptly and work to minimize delays.

18. Subcontracting

We reserve the right to subcontract specialist work (e.g., electrical, plumbing, structural engineering) to qualified professionals. All subcontractors are properly insured and vetted. We remain responsible for overall project quality and coordination.

19. Entire Agreement

These Terms, together with your accepted quotation and our Privacy Policy, constitute the entire agreement between you and WeSpray Group Nottingham. They supersede all prior discussions, agreements, or understandings. Any modifications must be made in writing and signed by both parties.

20. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect. The invalid provision will be modified to the minimum extent necessary to make it valid and enforceable.

21. Changes to These Terms

We may update these Terms from time to time to reflect:
